Rare Fiji Adventures Booking, Cancellation & Privacy Policy

These terms apply to bookings made with Rare Fiji Adventures for private airport and resort transfers, water taxis, day cruises, tours, activities and related services. They are designed for travel in Fiji, where weather, sea conditions and local operating requirements can change quickly.

A booking is confirmed when we send written confirmation after receiving the payment or deposit stated at checkout or in your quote. Please check your confirmation promptly and tell us of any error. Prices are in the currency shown at booking and include only the services specifically listed in the confirmation.
For private or custom services, the remaining balance and any special conditions will be shown in your written quote or confirmation. We may release an unpaid reservation after the payment deadline shown there.
2. Changes, cancellations and refunds
Cancellation requests must be sent in writing to bookings@rarefijiadventures.com. The time we receive the request in Fiji is used to calculate notice.
- 48 hours or more before departure/pick-up: full refund of the amount paid.
- 24 to 48 hours before departure/pick-up: 50% refund of the amount paid.
- Less than 24 hours before departure/pick-up, or no-show: no refund.
Subject to availability, we will try to accommodate a reasonable change to date, time, passenger numbers or route. Any increase in price, supplier charge or extra operating cost must be paid by the guest. A material change made within 24 hours of service may be treated as a cancellation and new booking.
Refunds are returned to the original payment method where possible and normally processed within 5–7 business days. Bank or card-provider processing times may be longer. Any non-recoverable third-party cost that was clearly disclosed for a custom booking may be deducted where permitted by law.
3. Our role and independent suppliers
Unless your written confirmation expressly states otherwise, Rare Fiji Adventures acts as a booking agent and coordinator. Transport, boat transfers, resort tenders, tours, activities and related services may be operated by independent third-party suppliers, including drivers, vessel owners, skippers, resorts, guides and activity providers.
The supplier has operational control of its service and is responsible for its vehicles, vessels, crew, licences, safety procedures and performance. Where applicable, Rare Fiji Adventures receives payment and confirms arrangements on the supplier’s behalf.
We exercise reasonable care when arranging suppliers and remain responsible for our own booking services, representations, negligence and obligations that cannot legally be excluded. To the fullest extent permitted by law, we are not responsible for an independent supplier’s acts or omissions that are outside our reasonable control.
4. Water transfers and resort tenders
Some island resorts do not have a jetty. Passengers may therefore be required to transfer between vessels offshore using a resort tender for the final journey to or from shore. This may involve movement between boats, wet or slippery surfaces, waves, tides and changing weather or sea conditions.
Your booking confirmation will state whether a tender connection is required and whether it is included in the fare or charged separately by the resort. Passengers must follow all safety instructions, use safety equipment as directed, supervise children and disclose before travel any mobility, medical or assistance requirements that could affect safe boarding. Rare Fiji Adventures or the operator may refuse boarding where participation cannot reasonably be completed safely.
5. Weather, safety and operational changes
Boat services and other travel services are subject to weather, tides, sea state, road conditions, vessel or vehicle availability, resort access and government, port or safety instructions. The skipper or operator has final authority to delay, alter, reroute, substitute, shorten or cancel a journey for safety or operational reasons.
If the affected service is cancelled before it begins, we will offer the practical choice available under our cancellation policy, which may include rescheduling, credit or a refund for the affected service. If a tour or transfer has already begun and is shortened for safety, we will assess a fair refund or credit for the unused part, taking account of the service already delivered and costs already incurred.
Rare Fiji Adventures is not responsible for separate or consequential costs such as missed flights, accommodation, meals, alternative transport, travel insurance or lost holiday time, except where applicable law requires otherwise.
6. Guest responsibilities
Please arrive at the confirmed pick-up or meeting point on time, follow the instructions of drivers, skippers, guides and crew, and provide accurate passenger, contact and travel details. You are responsible for travel documents, personal belongings and appropriate clothing or equipment unless we confirm otherwise.
Tell us before travel about any mobility needs, allergies, medical considerations, dietary requirements or other information relevant to safe delivery of your service. Some activities are not suitable for every guest. We may refuse or remove a guest whose conduct is unsafe, unlawful, abusive or seriously disruptive; in that case no refund is due.
7. Travel insurance
Customers are strongly advised to obtain comprehensive travel insurance suitable for their circumstances. Cover should be considered for medical treatment, emergency evacuation, cancellation, weather disruption, missed connections, personal belongings and travel involving small boats or water-based activities.
Customers are responsible for checking the coverage, exclusions and excesses of their insurance. For certain private charters or higher-risk activities, adequate insurance may be made a condition of booking and will be stated in the confirmation. Where required for an activity, guests must complete a safety declaration or waiver before participation.
8. Limitation of liability
Travel and water-based activities carry inherent risks. To the fullest extent permitted by law, Rare Fiji Adventures is not liable for indirect or consequential loss, or loss, injury, delay, damage or expense caused by weather, natural events, government action, road or port closures, mechanical or operational emergencies, customer delay, inaccurate information supplied by the customer, supplier failure, acts of third parties, or other circumstances outside our reasonable control.
Where liability can lawfully be limited, our total liability relating to the affected booking will not exceed the amount paid for that affected service. This limitation does not apply to fraud, wilful misconduct, liability that cannot legally be limited, or any consumer right or remedy that applicable law does not permit us to exclude.
9. Privacy: information we collect
We collect only the information reasonably needed to quote, book, operate and support your service. This may include your name, email address, phone number, country, booking and payment status, pick-up and destination details, flight or accommodation information, passenger numbers, emergency contact, luggage information and safety, medical or accessibility information you choose to give us.
Our website and service providers may also collect limited technical information such as IP address, device/browser information, cookies and page-use data to operate, secure and improve the website. Payment card details are handled by the payment provider; we do not store full card numbers on our website.
10. How we use and share information
We use booking information to respond to enquiries, take and manage payments, confirm and deliver services, provide safety and operational updates, handle changes or refunds, prevent fraud, maintain records and meet legal obligations. We may send marketing only where you have opted in or otherwise consented, and you may unsubscribe at any time.
Rare Fiji Adventures may share the minimum information reasonably necessary to quote, confirm and operate a booking with independent service providers such as drivers, boat operators, skippers, resorts, tender crews, guides, activity providers, payment processors and website providers.
Shared information may include passenger names, contact details, travel dates, flight or accommodation information, pick-up and destination details, passenger numbers, luggage information and any mobility, medical, dietary or safety information provided for the booking.
We do not sell or rent personal information. Independent suppliers may process necessary booking information through their own systems and in accordance with their legal obligations and privacy practices. We may also disclose information where required by law, to protect safety, or to establish or defend a legal claim.
11. Keeping your information safe
We take reasonable administrative and technical measures to protect personal information from unauthorised access, loss or misuse. No online system can be guaranteed completely secure. We retain information only for as long as reasonably necessary for bookings, safety, accounting, customer service, dispute resolution and legal obligations, then delete or anonymise it where practicable.
12. Your choices and contact
You may ask us to access, correct or update the personal information we hold about you, or withdraw marketing consent, by emailing bookings@rarefijiadventures.com. We may need to verify your identity and may retain limited information where required for legal, accounting, safety or fraud-prevention reasons.
13. Governing law
These terms are governed by the laws of Fiji. Any dispute will be dealt with by the courts of Fiji, except where applicable law requires otherwise.
